Plain Email Templates Overview
Plain Email Templates is Zyntro's tool for creating clean, minimal HTML emails that feel personal and human. Unlike the Email Builder which produces visually rich "pretty" emails, Plain Email Templates creates text-focused emails optimized for nurturing, outreach, and relationship-building communication.
🎯 Major Feature
Generate on-brand email templates using AI with a simple natural language prompt. Zyntro uses your brand context, audience segments, offerings, and communication style to produce personalized, high-conversion email templates automatically.
⚠️ When to Use Plain Email Templates
USE for:
- Nurturing sequences and drip campaigns
- 1:1 outreach and sales emails
- Follow-up emails after calls, demos, or meetings
- Relationship-building communication
- Re-engagement and win-back campaigns
- Educational content delivery
DO NOT USE for:
- Newsletters with visual branding
- Product launch announcements with images
- Event invitations requiring visual design
- Marketing campaigns needing rich layouts
Plain emails feel personal. When someone receives a simple text email, it reads like a real person wrote it—not a marketing machine. This is exactly what you want for building relationships.
How It Works
Step 1: Access Plain Email Templates
- Navigate to Brands → Brand Assets → Email Templates
- Click "Create New Email Template"
- Or click "Edit" on an existing template
Step 2: Generate with AI (Recommended)
The fastest way to create an on-brand email is using the AI generation feature:
- In the left panel, find the "Write with AI" section
- Enter a natural language prompt describing:
- The purpose of the email (nurture, follow-up, announcement, etc.)
- The intent (what action you want recipients to take)
- The expected outcome (what success looks like)
- The target audience (optionally specify a segment)
- Click "Write with AI"
- Zyntro generates the subject line and email body automatically
💡 Pro Tip
The AI uses your complete brand context including audience segments, brand voice, offerings, website sitemap, and smart tags. Be specific about the scenario—mention if it's for a specific audience segment, post-demo follow-up, or particular product.
Step 3: Review AI Output
After generation, Zyntro provides:
- Email Subject: Populated subject line (editable)
- Email Content: Full HTML body with personalization tags
- Reasoning Tooltip: Click the info icon to see:
- Why the AI chose the email style
- Which audience segment was targeted
- How the prompt was interpreted
Step 4: Manual Editing (Optional)
Customize the generated content using the rich text editor:
- Bold, italic, underline formatting
- Hyperlinks with custom anchor text
- Ordered and unordered lists
- Smart tags for personalization (copy from right panel)
Step 5: Add Personalization
The right panel displays all available smart tags:
- Contact fields:
{contacts.fname},{contacts.email} - Entity fields:
{entities.name},{entities.industry} - Appointment fields:
{appointments.pretty_date} - Member/Organization fields: For signature blocks
- Click any tag to copy it to your clipboard
Step 6: Save Template
- Enter a Template Name (internal identifier)
- Confirm the Email Subject
- Click "Save Template"

Result: A warm, personal follow-up email with specific references to benefits, a clear CTA to book another call, and smart tags for personalization.
📧 Nurture Sequence Email
Prompt: "Create an educational email for real estate agents about how our CRM helps them manage client relationships. Focus on the pain point of losing track of leads and the benefit of automated follow-up reminders."
Result: A value-focused email with 2-3 insights addressing the specific pain point, light CTA to learn more, and audience-appropriate tone.
📧 Re-engagement Email
Prompt: "Win-back email for contacts who haven't engaged in 90 days. Acknowledge the gap, highlight what's new since they last visited, and invite them to take another look."
Result: A gentle, non-pushy email that acknowledges the time lapse and offers a compelling reason to re-engage.
Best Practices
- Use AI generation first: Start with AI, then refine—it's faster and ensures brand consistency
- Be specific in prompts: Include purpose, audience, and desired outcome for best results
- Limit links: Use 2-3 relevant links maximum—too many links trigger spam filters
- Use smart tags naturally: 2-3 tags per email feels personalized without being over-automated
- Keep it scannable: Short paragraphs, clear structure, whitespace for readability
- Avoid spam triggers: No excessive punctuation, all-caps, or aggressive sales language
- Include a signature: Use member and organization smart tags for a professional sign-off
- Test before sending: Preview how smart tags will render with actual contact data
